Buss Murton Law, a well-established law firm in Kent, is seeking a Receptionist & Office Assistant to join its Clients Services Team at its head office in Tunbridge Wells.

The hours of work are from 13:00 to 17:30 (22.5 hours a week) Monday to Friday (with additional hours where required).
This is a permanent role and you will be working within modern offices in the centre of the town, providing administrative assistance to the areas set out below:
Key Tasks
File Opening/Archiving (Retrievals)
• Ensure files are archived in a timely manner. Co-ordinating of retrieval requests, ordering documents from the file storage facilities, returns and the more complex queries.
• Ensure that all retrieval requests are dealt with promptly and that schedules are emailed on the appropriate dates
• Ensure all closing procedures have been met before storage.
• Entering data accurately onto the database and excel spreadsheets.
• Ensure that all documentation stored by the firm complies with guidelines set out by the SRA and the firm’s policies.
• Co-ordinate retrieval requests, ordering documents from file storage.
• Maintain communication with Fee Earners and Secretaries wishing to store or retrieve documentation.
• Maintain accurate records of the file/document storage and retrieval movement.
• Working through the existing archives to digitise historical archived files
• Adhoc assistance with the compliance team in file management
Reception Support
Assisting the client services team with the following:
• Answering the switchboard in a timely manner
• Meeting and greeting clients and visitors to the firm
• Co-ordinating meeting room bookings and car parking facility
• Organising refreshments where appropriate
• Keeping meeting rooms tidy, removing and washing up crockery after meetings
• Keeping client kitchen clean and tidy
• Ensuring all client kitchen supplies are maintained at all times
• Collecting, sorting and distributing DX and incoming post
• To liaise with the Landlord’s representative for day-to-day issues or faults in respect of Wellington Gate
• File Opening – assist with the centralised file opening process
• To undertake any other administrative duties as may be required from time to time
