This role is based on the outskirts of Maidstone.
Position Expectations
To work as part of the Investments Services Team to provide day to day administration support to the Branch Principle and secretarial/administrative support to the wider team.
Main duties and responsibilities
• Prepare correspondence and documents through audio-typing (digital dictation) and word processing. This includes letters, complex meeting notes, memo’s and extensive reports
• Handling of incoming and outgoing calls, dealing with client enquiries and responding to emails
• Accurate maintenance of various spreadsheets, logs and bespoke systems
• Entering client data onto back office system
• Updating client policies and investments
• Requesting illustrations from insurance companies and investment houses
• Ensure the latest versions of account opening documentation forms are available online and directly assisting clients with online investor access issues
• Make appointments, arrange meetings and maintain up-to-date diary information for the department. This also includes making travel and accommodation arrangements
• Preparation of monthly MI reports
• Undertake general administration which includes collecting and distributing post, daily filing, stationary ordering and the opening, closing, storage and retrieval of files
Skills and Experience
• Previous experience of working within financial services or Wealth Management (essential)
• Excellent secretarial skills
• Good knowledge of IT - E.g. bespoke software and Microsoft Office packages
• Ability to prioritise workload and work to deadlines
• Good organisational skills and excellent attention to detail
• Good written and oral communication skills
• Able to work as part of a team
