Ferns Surfacing is a leading resurfacing provider in the South East working for organisations such as Cadent and SGN. Ferns Surfacing provides services across the South East UK and London. As such Ferns Surfacing operates a range of vehicles & machinery from HGV Crane Lorries to small vans, Excavators to Power saws.

The post holder will be responsible for assisting the Transport Managers in administering the fleet. The post holder will require good communication and IT skills. The role will be involved in tasks such as (but not limited to):

•Driver Licence Checks
•Service record keeping
•Monitoring key dates (MOT, Tax, Certifications)
•Vehicle Handover Reports
•Ordering parts
•Monitoring external repairs
•Responding to PCN’s and Road Traffic Offences
•Accident Reporting

General Duties:

• General Hours of work will be Monday to Friday 07.00 to 16.00 but this can be flexible to suit the needs of the successful candidate
• Assist with the delivery & collection of vehicles to and from maintenance providers for their Periodical Maintenance Inspections and or servicing
• Monitor systems to ensure compliance with driver’s completing Driver Daily Walk Round Checks
•Filing of Service Documents, data entry onto the fleet database. This will also require accessing other organisations web pages to download service documents
•Collation & Filing of Defect records. Sorting defect records returned by our depots and ensuring they are filed appropriately, to include removal of historic records where appropriate
•Collation & Filing of Drivers Hours. Sorting drivers’ hours logs returned by our depots and ensuring they are filed appropriately, to include removal of historic records where appropriate
•To assist the Weekly Forward Plan of Vehicle Maintenance
•To assist the Transport Manager in the distribution of weekly maintenance & MOTs due for the depots and following up completion of maintenance and MOTs
•Schedule & Procurement of RFL (Road Fund Licence/Road Tax). Reviewing RFL due and following through to the completion of procurement either online or via other organisations
•Logging of vehicles to fleet pay systems. Manage vehicles to be added or removed to TFL (Transport for London) Congestion charging or Dart Charge accounts
•Receive weekly Activity Reporting from our Fitters. Assist with & where necessary input fitter activity reports onto the relevant database
•Assist in long term repair (Inc. accident) control. Work closely with the Transport Manager in the management of warranty repairs, accident repairs and routine maintenance to ensure actions are completed in a timely manner
•Assist with ensuring all road traffic accident report forms are completed accurately and fully. All pictures and evidence are collated and assist with reporting to insurance and completion of accident report recording
•Manage other organisations software solutions such as Tom Tom & Vehocheck to ensure all vehicles are available and systems are being used
•Assist with ordering of parts for the workshop facility
•Assist with managing the workshop diary system
•Training to be given

Health & Safety:

•Manage own H & S items such as Risk Assessments, COSHH Assessments & Safety Data Sheets as well as First Aid items
•Assist with ensuring the safe undertaking of all activities

Other requirements:

•Maintain a valid Driving Licence for driving cars (HGV up to 7.5t. or Full cat. C licence would be an advantage but not essential)
•Provide assistance to the depots in support of breakdowns, tyres, service centres etc
•Conduct yourself in a manner that protects the corporate image and integrity of Ferns Surfacing

Pay: £21,000.00-£25,000.00 per year dependant upon experience

Must have a full clean driving licence and own transport due to location.
