Job purpose
To ensure the smooth, efficient running of the office and to supply administrative support when required to senior management. The job holder will report directly to the Finance Manager.
Attributes required:
Previous experience of running an efficient office function, providing administrative support to senior management. Strong communicator with ability to be assertive and influence people at all levels. Able to identify, develop and implement new office processes and procedures that benefit the business. The job holder will support the business assisting with tasks including, but not limited to:
Office
• Energy supplier – ensure meter readings are taken – Contract renewal
• Manage and maintain office furniture, uniforms, PPE stock levels and order in as required
• Ensure adequate stocks of tea, coffee, milk, toilet rolls, hand sanitiser, cleaning products etc.
• Manage the office annual maintenance schedule (including for the adjoining Unit 2 KOS) liaising and co-ordinating with the H&S Manager in relation to specific H&S
• Prepare and distribute staff induction packs, ensure all new staff are on-boarded correctly as set out in the company induction procedure
• Update phone “Out of Hours” divert when required
• Complete fleet management, including vehicle inspections, insurance claims, license checking, producing monthly tracker report, vehicle insurance and fuel card processing
• Manage and maintain the company asset register including submitted asset reports to Finance Manager as required
• Manage and maintain all office stationery and printer management requirements
• Organise company events including conferences, travel, accommodation etc.
• Provide administrative support to senior management as and when required
• Organisation and management of senior management meetings including preparation, documentation and minute taking
• Respond to ad-hoc requests from KOS tenants located in the adjacent building
Reception
• Welcome visitors and clients to the office (to include ensuring all visitors are COVID compliant.) Arrange food and beverages as required
• Receive deliveries, distribute post, respond to complaints / queries as appropriate
• Manage and maintain an efficient recording system for all office deliveries and returns
• Answer phones when other departments are busy
IT
• Check Business 365 Premium licences quarterly and update external IT company accordingly
• Order and set up equipment for new employees including desks, stationery, phones, workstations, etc
General
• The job holder will possess solid IT skills including Word, Excel, PowerPoint and Outlook
• Proficient in creating PowerPoint presentations, Graphs and Organisation charts
• Confidentiality in your work as the role will involve dealing with sensitive and personal information
• Excellent verbal, communication and organisational skills. Ability to prioritise a varied, very busy workload effectively
• Willing to undergo training and development when required relating to the role
• Any other ad-hoc administration and office duties as directed by senior management
• Managing office administration budget with an aim to reduce costs where possible
• Implementation of waste management processes
Working Hours
This role would suit someone who wishes to work around school hours, so 5 days a week 9.15/9.30 through to circa 14.30/14.45
