Job Title: Administration Assistant

Reports to: Quality Assurance Officer

Department: Quality

Job Context: Avante Partnership is a major provider of quality residential and community care for older people in Kent and South East London.

Job Location: Avante Care & Support Head Office in Faversham

Job Summary: To assist the Quality Team to implement objectives and action plans and provide administrative support.

Main responsibilities and duties:

1. Assist the team to meet service objectives and action plans.

2. Develop Excel Spreadsheets for the dissemination of large volumes of data.

3. Collect and input data to strict timescales.

4. Presentation of data and information in the requested format.

5. Liaise and communicate effectively with Managers, Staff, Service Users, and our stakeholders; internally and externally.

6. Carry out administrative duties to support members of the Quality Team for example, Quality Improvement Practitioners, Project Delivery Manager and Quality Standards Auditor.

7. Take inbound and outbound telephone enquiries/messages, taking action and follow up as necessary.

8. To work to agreed deadlines and timescales.

9. To attend team meetings when required.

10. To carry out any other duties that are reasonable within the responsibility levels of this post.

11. To adhere to Avante Care and Support’s policies and procedures at all times, including confidentiality, health and safety and fire regulations.

12. To promote Avante Care and Support’s Equal Opportunities Policy Statement, ensuring awareness of differing ethnic, social and cultural backgrounds.

Person Specification

Essential Experience and Skills

• Extensive experience and current use of Windows and MS Office especially Excel and Word.

• Ability to communicate effectively with people at all levels, both verbally and written.

• The ability to work under pressure and to prioritise work.

• Proven experience of, or the capacity to learn, office systems and general clerical duties.

• The ability to work as part of a team, but equally capable of working unsupervised at times.

• Think creatively, be spontaneous and flexible.

Desirable Qualification(s)

At least 24 months experience as an Administration Assistant.
