Permanent Part Time Office Manager.
To start as soon as possible.
Part-time hours: 12 - 20 per week. £9.50 - £11.00 per hour
Vanity Farm Tenants Association Ltd., is seeking an organised, capable office manager to oversee and manage their busy on-site office, based in Leysdown-on-Sea, Sheerness.
The role is offered on a part time basis and with flexible hours to suit -; 10.00am – 2.00 Mon – Saturday as a suggestion.
Some working flexibility is required on occasion to work on weekends and possibly bank holidays. This is not a frequent requirement and one that we would generally try to avoid.
You will be working alongside another Office Manager/administrator on a job share basis. Reporting into the Board Directors.
You will need to have confident telephone manner, liaising with members and happy at multi-tasking.
You will be responsible to the company Directors with your immediate line of reporting to the company Secretary, but you will have a direct line of communication to the company Chairman and other Directors should the need arise.
Your normal working hours will be:
Monday to Friday 10.00am to 14.00pm.
Thursday, office closed every other week.
Saturday 10.00am to 14.00pm every other week when office is closed on Thursday
Sunday office closed.
• Ensure agreed ‘Office Open Times’ are adhered to.
• Attend Directors meetings and record minutes/notes of each meeting
• Circulate notes of each Board of Directors meeting within the first two weeks of each meeting (By email)
• Attend and administrate for the Members AGM and EGM meetings
• Circulate EGM and AGM Meeting brief notes one month ahead of the next due meeting along with invitations to attend
• Attend agreed briefings with the Company Secretary
• Make face-to-face contact with members – dealing with enquiries or receiving complaints that are made during office open times. This may require an immediate conversation with the company Secretary if the matter is deemed as urgent.
• Manage annual invoicing for members fees
• Coordinate the costs and invoice members for electricity used
• Respond to phone enquiries into the office – share significant enquires/complaints with the company Secretary/Board of Directors group
• Prepare and pay due invoices as requested by the company Secretary
• Ensure that all income and expenditure is documented
• Attend appropriate training courses as required by the job role
• Advise the Directors if and when additional office assistance is required, recruiting and managing staff as instructed by the Directors.
• Any other reasonable request issued to you by the company Secretary
