Job Title: Personal Assistant
Location: Dover
Job Type: Full-time, Fixed contact for 12 months commencing July/August
Salary: up to £35000 DOE
Are you an experienced and highly organized individual looking for an exciting opportunity to provide efficient and confidential administrative support to a dynamic Chief Executive? If so, we have the perfect role for you! We are currently seeking a Personal Assistant to the Chief Executive who will also assist the Directors and General Managers when necessary.
Responsibilities:
• Manage the Chief Executive's and other senior executives' diaries efficiently.
• Coordinate and book travel arrangements, hotels, and other functions or events as required.
• Maintain a well-organized and accessible filing system.
• Administer the budget for the Chief Executive's office, including raising Purchase Orders and managing expense claims.
• Handle incoming mail and telephone calls in a professional and prompt manner.
• Assist the Chief Executive with ad hoc project work and discreet projects.
• Create complex documents, spreadsheets, and presentations using Microsoft Office Suite
• Support the preparation and production of confidential reports and Board papers.
• Serve as a point of reference for secretarial protocols and usage.
• Organize and coordinate both internal and external meetings, including arranging catering and audio-visual requirements.
• Attend meetings and take accurate minutes or notes when necessary.
• Perform other duties as assigned by the manager or supervisor.
Qualifications:
• High standard of education, including proficiency in English and Maths
• Secretarial and computer-based qualifications
• Minimum of 4 years of experience in an office environment
• Demonstrable experience providing proactive and efficient senior secretarial or professional PA service.
• Working knowledge of MS Office products
• Experience in taking and producing accurate minutes at meetings.
• Strong organizational skills and ability to work under pressure.
• Shorthand and audio typing skills are desirable.
Skills and Attributes:
• Proven experience working with sensitive and confidential material.
• Excellent communication skills, with the ability to interact at all levels, especially at the executive level.
• Strong attention to detail and ability to meet deadlines.
• Ability to work with minimal supervision.
• Flexibility to work outside standard hours, if required, to meet job objectives
• Role model in creating a culture of integrity and respect, contributing to a great place to work.
